Exhibition Stand Costs and Payment Plans
The RMS is pleased to announce the timeline for booking exhibition stands and additional sponsorship opportunities at the Microscience Microscopy Congress 2025 (mmc2025) incorporating EMAG 2025. A vibrant exhibition will be held alongside the conference programme which comprises of six parallel sessions. The exhibition will provide opportunities for companies to showcase their products and services and to connect with the microscopy community. More than 1000 delegates and visitors are expected to attend mmc2025 from the UK, Europe and further afield.
Exhibition stand bookings for mmc2025 will open as follows:
Corporate members booking 36sqm or more of exhibition stand space - 14:00 (BST) on Wednesday 9 October 2024
Corporate members booking less than 36sqm of exhibition stand space - 14:00 (BST) on Wednesday 16 October 2024
All companies booking any amount of exhibition stand space - 14:00 (BST) on Wednesday 23 October 2024

The exhibition stand cost includes:
- Basic shell scheme - white shell scheme stand which includes a fascia, ceiling grid, poles and panels. Please note that furniture is not included but can be ordered at an additional charge through the official stand contractor.
- 1 x 500w power socket (all stands will include one 500w power socket for every 9sqm booked, stand size rounded up) *. Additional power sockets can also be ordered at an additional charge through the electrical contractor.
- 1 x fluorescent tube light (all stands will include one fluorescent for every 9sqm booked, stand size rounded up).*
- Carpet (standard colour tbc)
- Unlimited exhibition passes permitting access to the exhibition hall, poster area and commercial workshops
- 1 x full conference pass for every 9sqm of stand space booked
- Company logo with link to company URL included on the mmc2025 website and congress app
- Company logo in the PDF Conference programme
- Inclusion in the searchable company directory on the congress app.
- A logo link in the June infocus for bookings made by end of April 2025
- Post-event GDPR list of attendees who have approved sharing their details with participating companies
*Exhibition stands smaller than this will receive one socket and one light.
Co-sponsors
For mmc2025 we have introduced a co-sponsor booking policy should main sponsors wish to include other companies/partners on their exhibition stand. All such companies will need to enter into a co-sponsoring contract with the Royal Microscopical Society and agree to the terms and conditions, privacy policy and code of conduct. The co-sponsor fee will include an administration charge, website listing, logo in PDF programme booklet, congress app listing, inclusion in searchable company directory, logo link in June issue of infocus Magazine (for bookings received by 31 April 2025, free stand personnel passes (exhibition only), and a GDPR approved attendee list post event.

The co-sponsoring company will be invoiced directly by the RMS.
Booking an Exhibition Stand
When submitting your booking preferences, you will be asked to select your exhibition stand preferences (five required). Exhibitio stands within a block can be selected individually, or joined together to create a larger stand. If you wish to join blocks of exhibition stands together, please enquire before booking, as we are required to maintain lines of sight and traffic flow.
Please click on individual exhibition stands to view the dimensions on the floor plan below and make a note of your preferred exhibition stand choices to select at the time of submitting your booking request form.
- To submit a booking you will need an online RMS account set up in your own name. If you have not already done so, you will need to create an online account to view and submit the sponsorship request form. To do this, go to the RMS Website Login page and 'Register for a website account'. Please note that stands will be allocated strictly on a first-come, first-served basis according to the date and time the submission is received.
- Go to the mmc2025 official stand booking form accessed by logging into your RMS account.
- Select the 'mmc2025 Exhibition Stand Ticket'.
- Please note the price will be calculated based on the size of the stand allocated, at the price per sqm at the time of booking. An invoice and contract will be sent after your stand allocation has been confirmed.
- You will then be asked to submit your personal and company details, along with 5 stand preferences selected from those available on the floorplan at the time of your submission. It will be mandatory to select 5 stand preferences.
- You will be asked to submit a current JPEG or PNG logo for your company and the URL that you wish the logo to be linked to.
- You will be required to submit your invoice address and accounts contact, VAT number and PO number (where applicable).
Once you have submitted your exhibition stand preferences you will receive an automated confirmation that it has been received. A member of the RMS team will be in contact by email within 5 working days to confirm your exhibition stand allocation and to send you your contract and invoice.
Additional Sponsorship Opportunities from the Sponsorship Prospectus
Companies who have booked an exhibition stand at mmc2025 will also have the opportunity to build on their presence by choosing additional opportunities to enhance their exposure before and during the event. Opportunities will include company workshops, Conference App sponsorship, e-Newsletter sponsorship and much more. Please view the opportunities on the website.
Please note that bookings for these additional opportunities will not open until 14:00 (GMT) on Wednesday 6 November 2024. A link to the booking form will be sent out on the morning of this date for companies who have booked an exhibition stand.
If you have received confirmation of your exhibition stand allocation, your company representative who made the exhibition stand booking will be able to log back into their account to select additional items on a first-come/first-served basis.

Please note that the floorplan will be updated on an ongoing basis as exhibition stands are booked, so it is essential that your preferences are chosen from those available at the time of submitting your request. Once your exhibition stand preferences have been received you will receive an automated confirmation of receipt. Exhibition stands will then be allocated on a strictly first-come/first-served basis and you will receive confirmation of your exhibition stand allocation by a member of the RMS Team.
